Abstract

A procedure and system is provided for automating storage of records on a records management server. The procedure includes storing the record on a records management server responsive to identifying an identifier in the record. The procedure also includes associating the record with a file on the server, wherein the file corresponds to the identifier.

Claims

1. A method for storing a record, comprising:

automatically storing the record on a records management server from a terminal responsive to automatically identifying an identifier in the record, wherein the records management server stores records relevant to activities and transactions;

associating the record with the file on the server corresponding to the identifier;

responsive to a request for metadata, receiving metadata corresponding to the record; and

storing the metadata on the server and associating the metadata with the record.

2. The method of claim 1, wherein the identifying is achieved via smart text.

3. The method of claim 1, wherein the identifier is a business partner'"'"'s name.

4. The method of claim 1, wherein the record is an incoming email received at a user'"'"'s terminal.

5. The method of claim 1, wherein the record is a newly created document.

6. The method of claim 1, further comprising:

creating the file on the server if the file corresponding to the identifier does not exist.

7. The method of claim 1, wherein the stored records are captured and maintained by a business as relevant to the business'"'"' activities.

8. A system for storing a record, comprising:

a record, including

an identifier;

a records management server configured to store records relevant to activities and transactions, including

a master database, and

a plurality of files stored in the master database; and

a local application, the local application in communication with the server, the local application configured to

automatically store the record in the master database responsive to identifying the identifier of the record,

automatically associate the record with a file in the master database, wherein the file corresponds to the identifier,

responsive to a request for metadata, receive metadata corresponding to the record; and

store the metadata on the server and associate the metadata with the record.

9. The system of claim 8, further comprising:

a local database in communication with the local application, wherein the local application is further configured to store the record in the local database.

10. The system of claim 8, further comprising:

a terminal accessible to a user, wherein the local application executes on the terminal.

11. The system of claim 8, wherein the identifying is achieved via smart text.

12. The system of claim 8, wherein the identifier is a business partner'"'"'s name.

13. The system of claim 8, wherein the record is an incoming email received at a user'"'"'s terminal.

14. The system of claim 8, wherein the record is a newly created document.

15. The system of claim 8, wherein the local application is further configured to:

create the file on the server if the file corresponding to the identifier does not exist.

16. The system of claim 8, wherein the records management server is configured to capture and maintain files relevant to the business'"'"' activities.

18. The medium of claim 16, wherein the storing and the identifying are executed automatically.

19. The medium of claim 16, wherein the identifying is achieved via smart text.

20. The medium of claim 16, further comprising:

responsive to a request for metadata, receiving metadata corresponding to the record; and

storing the metadata on the server and associating the metadata with the file.

17. A computer-readable medium including instructions adapted to execute a method for storing a record, the method comprising:

storing the record on a records management server responsive to identifying an identifier in the record; and

associating the record with a file on the server, wherein the file corresponds to the identifier.
