Abstract

A method, non-transitory computer readable medium, and content management apparatus receives a storage request including content and context information associated with the received content, the context information comprising at least metadata and information for one or more user tags, wherein the user tags are customizable and established by an administrator. One of a plurality of types of content is identified for the received content. Searchable information is extracted from the received content based on the identified one of the plurality of types of content. A searchable index is generated for the received content based on at least the extracted searchable information and the context information associated with the received content. The received content is stored in a manner which is retrievable based on one or more associations in the generated searchable index.

Claims

1. A method for facilitating preservation for an indefinite or predetermined amount of time and retrieval of heterogeneous content, comprising:

receiving, with a content management apparatus, a storage request including content and context information associated with the received content, the context information comprising at least metadata and information for one or more user tags, wherein the user tags are customizable and established by an administrator;

identifying, with the content management apparatus, one of a plurality of types of content for the received content;

extracting, with the content management apparatus, searchable information from the received content based on the identified one of the plurality of types of content;

generating, with the content management apparatus, a searchable index for the received content based on at least the extracted searchable information and the context information associated with the received content; and

storing, with the content management apparatus, the received content in a manner which is retrievable based on one or more associations in the generated searchable index.

2. The method as set forth in claim 1, further comprising:

generating, with the content management apparatus, from the received content, one or more preservation objects comprising an archival editable format file, an archival viewable format file or a text file including text included in the content;

signing, with the content management apparatus, each of the received content and the one or more preservation objects with a respective digital signature; and

storing, with the content management apparatus, the one or more preservation objects and the digital signatures.

3. The method as set forth in claim 1, wherein:

the identified one of the plurality of types of content is a bitmap, image, graphic, or portable data format (PDF) and the extracting further comprises performing an optical character recognition technique on the received content to extract text included therein;

the identified one of the plurality of types of content is text and the extracting further comprises parsing the received content to extract text included therein;

or

the identified one of the plurality of types of content is an electronic mail and the extracting further comprises retrieving an attachment to the electronic mail and extracting searchable information from both the electronic mail and the attachment.

4. The method as set forth in claim 1, further comprising:

sending, with the content management apparatus, a content management agent to a client computing device, the content management agent comprising machine executable code which, when executed by a processor of the client computing device, causes the processor to perform steps comprising;

facilitating designation by a user of a folder in local or network storage accessible by the user as a watch folder associated with an established set of information for the plurality of user tags; and

generating the storage request in response to the user storing the content in the watch folder.

The method as set forth in claim 1, further comprising generating, with the content management apparatus, information for one or more system tags, wherein the processing further comprises processing the information for the one or more system tags and the storing further comprises storing the information for the one or more system tags.

6. The method as set forth in claim 1, wherein the user tags include a retention period for the content, the information for the retention period comprises a time period, and the method further comprises:

determining a retention date based on the time period;

periodically determining whether a current date is equivalent or subsequent to the retention date; and

providing a notification to an administrator or automatically purging the content, when it is determined that the current date is equivalent or subsequent to the retention date.

A non-transitory computer readable medium having stored thereon instructions for facilitating preservation for an indefinite or predetermined amount of time and retrieval of heterogeneous content comprising machine executable code which when executed by a processor, causes the processor to perform steps comprising:

receiving a storage request including content and context information associated with the received content, the context information comprising at least metadata and information for one or more user tags, wherein the user tags are customizable and established by an administrator;

identifying one of a plurality of types of content for the received content;

extracting searchable information from the received content based on the identified one of the plurality of types of content;

generating a searchable index for the received content based on at least the extracted searchable information and the context information associated with the received content; and

storing the received content in a manner which is retrievable based on one or more associations in the generated searchable index.

8. The medium as set forth in claim 7, further having stored thereon instructions comprising machine executable code which when executed by the processor causes the processor to perform steps further comprising:

generating from the received content, one or more preservation objects comprising an archival editable format file, an archival viewable format file or a text file including text included in the content;

signing each of the received content and the one or more preservation objects with a respective digital signature; and

storing the one or more preservation objects and the digital signatures.

9. The medium as set forth in claim 7, wherein:

the identified one of the plurality of types of content is a bitmap, image, graphic, or portable data format (PDF) and the extracting further comprises performing an optical character recognition technique on the received content to extract text included therein;

the identified one of the plurality of types of content is text and the extracting further comprises parsing the received content to extract text included therein;

or

the identified one of the plurality of types of content is an electronic mail and the extracting further comprises retrieving an attachment to the electronic mail and extracting searchable information from both the electronic mail and the attachment.

10. The medium as set forth in claim 7, further having stored thereon instructions comprising machine executable code which when executed by the processor causes the processor to perform steps further comprising:

sending a content management agent to a client computing device, the content management agent comprising machine executable code which, when executed by a processor of the client computing device, causes the processor to perform steps comprising;

facilitating designation by a user of a folder in local or network storage accessible by the user as a watch folder associated with an established set of information for the plurality of user tags; and

generating the storage request in response to the user storing the content in the watch folder.

The medium as set forth in claim 7, further having stored thereon instructions comprising machine executable code which when executed by the processor causes the processor to perform steps further comprising generating information for one or more system tags, wherein the processing further comprises processing the information for the one or more system tags and the storing further comprises storing the information for the one or more system tags.

The medium as set forth in claim 7, wherein the user tags include a retention period for the content, the information for the retention period comprises a time period, and the medium further has stored thereon instructions comprising machine executable code which when executed by the processor causes the processor to perform steps further comprising:

determining a retention date based on the time period;

periodically determining whether a current date is equivalent or subsequent to the retention date; and

providing a notification to an administrator or automatically purging the content, when it is determined that the current date is equivalent or subsequent to the retention date.

13. A content management apparatus, comprising:

a processor coupled to a memory and configured to execute programmed instructions stored in the memory comprising;

receiving a storage request including content and context information associated with the received content, the context information comprising at least metadata and information for one or more user tags, wherein the user tags are customizable and established by an administrator;

identifying one of a plurality of types of content for the received content;

extracting searchable information from the received content based on the identified one of the plurality of types of content;

generating a searchable index for the received content based on at least the extracted searchable information and the context information associated with the received content; and

storing the received content in a manner which is retrievable based on one or more associations in the generated searchable index.

14. The apparatus as set forth in claim 13, wherein the processor is further configured to execute programmed instructions stored in the memory further comprising:

generating from the received content, one or more preservation objects comprising an archival editable format file, an archival viewable format file or a text file including text included in the content;

signing each of the received content and the one or more preservation objects with a respective digital signature; and

storing the one or more preservation objects and the digital signatures.

15. The apparatus as set forth in claim 13, wherein:

the identified one of the plurality of types of content is a bitmap, image, graphic, or portable data format (PDF) and the extracting further comprises performing an optical character recognition technique on the received content to extract text included therein;

the identified one of the plurality of types of content is text and the extracting further comprises parsing the received content to extract text included therein;

or

the identified one of the plurality of types of content is an electronic mail and the extracting further comprises retrieving an attachment to the electronic mail and extracting searchable information from both the electronic mail and the attachment.

16. The apparatus as set forth in claim 13, wherein the processor is further configured to execute programmed instructions stored in the memory further comprising:

sending a content management agent to a client computing device, the content management agent comprising machine executable code which, when executed by a processor of the client computing device, causes the processor to perform steps comprising;

facilitating designation by a user of a folder in local or network storage accessible by the user as a watch folder associated with an established set of information for the plurality of user tags; and

generating the storage request in response to the user storing the content in the watch folder.

The apparatus as set forth in claim 13, wherein the processor is further configured to execute programmed instructions stored in the memory further comprising generating information for one or more system tags, wherein the processing further comprises processing the information for the one or more system tags and the storing further comprises storing the information for the one or more system tags.

18. The apparatus as set forth in claim 13, wherein the user tags include a retention period for the content, the information for the retention period comprises a time period, and the processor is further configured to execute programmed instructions stored in the memory further comprising:

determining a retention date based on the time period;

periodically determining whether a current date is equivalent or subsequent to the retention date; and

providing a notification to an administrator or automatically purging the content, when it is determined that the current date is equivalent or subsequent to the retention date.

19. A method for facilitating security, control, and management of heterogeneous content while increasing searchability of the content, the method comprising:

receiving, with the content management apparatus, content and context information associated with the content from a plurality of users;

obtaining, with the content management apparatus, an access level for each of the plurality of users from an administrator, and

managing, with the content management apparatus, the content for a full information lifecycle, comprising;

securing and storing the content;

locating at least a subset of the content or context information satisfying search parameters of a search request obtained from one of the plurality of users based on the access level for the one of the plurality of users; and

monitoring actions performed by each of the plurality of users on or with respect to the content.

A non-transitory computer readable medium having stored thereon instructions for facilitating security, control, and management of heterogeneous content while increasing searchability of the content comprising machine executable code which when executed by a processor, causes the processor to perform steps comprising:

receiving content and context information associated with the content from a plurality of users;

obtaining an access level for each of the plurality of users from an administrator, and

managing the content for a full information lifecycle, comprising;

securing and storing the content;

locating at least a subset of the content or context information satisfying search parameters of a search request obtained from one of the plurality of users based on the access level for the one of the plurality of users; and

monitoring actions performed by each of the plurality of users on or with respect to the content.

21. A content management apparatus, comprising:

a processor coupled to a memory and configured to execute programmed instructions stored in the memory comprising;

receiving content and context information associated with the content from a plurality of users;

obtaining an access level for each of the plurality of users from an administrator, and

managing the content for a full information lifecycle, comprising;

securing and storing the content;

locating at least a subset of the content or context information satisfying search parameters of a search request obtained from one of the plurality of users based on the access level for the one of the plurality of users; and

monitoring actions performed by each of the plurality of users on or with respect to the content.
